Description
The Auxiliary Programs Office Assistant provides support for the planning, coordination, and daily operations of the school’s auxiliary offerings. These programs include Extended Fay (AM and PM Care, after-school enrichment clubs, and vacation and conference care programming), FaySummer camps, bus transportation, and facility rentals. The assistant plays a key role in delivering high-quality programming, exceptional customer service, and efficient operations that support Fay’s mission and financial sustainability. This is a part-time position. The hours are Monday through Friday, 10:00 AM - 3:00 PM. 

Qualifications
The ideal candidate will have at least five years of experience in office management with 2–4 years of that experience in auxiliary programs, summer camps, or child care programs. Candidates must have experience overseeing staff and working with children and families and have strong organizational, communication, and customer service skills. The Auxiliary Programs Office Assistant is expected to work independently and proactively, while contributing to the overall success of the Auxiliary Department team. Candidates must be willing to occasionally work evenings and weekends and be willing to take on new assignments as required.

Responsibilities Include
  • Plan, implement, and assist in the evaluation of all auxiliary programs, while optimizing scheduling, enrollment, and space utilization.
  • Coordinate all aspects of facility rentals, including rental agreements, scheduling, billing, and liaison work between renters and internal departments (Facilities, Safety, Athletics).
  • Serve as the primary on-site administrator during camp operations and special events, overseeing daily logistics, problem-solving, and parent/guardian communication.
  • Enforce health, safety, and risk management protocols across all programs and rentals to ensure strict compliance with school policies and insurance requirements.
  • Assist in the recruiting, hiring, training, and supervision of part-time and seasonal staff, managing scheduling, absentee coverage, and fostering an inclusive professional environment.
  • Coordinate with internal departments (Technology, Facilities, etc.) to ensure appropriate space allocation and logistical support for all events and programs.
  • Act as the main point of contact for families, campers, employees, and renters, responding to inquiries and feedback with a solutions-oriented, customer-focused approach.
  •  Manage billing, invoicing, deposits, and budget tracking for all programs and rentals, assisting with revenue reporting and reconciliation.
  • Maintain enrollment systems, registration platforms, and databases, while collecting participation data to support assessment and reporting.
  • Assist with marketing efforts to drive program growth, including the creation of website content, email campaigns, and promotional materials.
