Description
The Assistant to the Head of Primary School and Director of the Early Learning Center provides administrative support to the Head of Primary School and Director of the Early Learning Center to ensure the smooth functioning of the Primary School Office. The Primary School enrolls students in kindergarten through grade two.
The Early Learning Center (ELC) enrolls students ages 2.9 to 5 years old. This position requires excellent interpersonal and communication skills and the ability to interact with faculty, parents, guardians, and students in a professional manner.
Applicants should thrive working in a fast-paced environment where a high level of customer service is expected. Candidates must have proven project management and problem-solving skills, as well as the ability to prioritize tasks and deadlines. The ability to work collaboratively with staff in other school offices is essential. The assistant will be expected to handle confidential information with discretion. This is a full-time, year-round position with extended, paid vacation time during the summer months and school vacations. The position is eligible for employee benefits.
Qualifications
Five years of experience as an administrative assistant and/or project manager is required. A bachelor’s degree is preferred. Candidates must be experienced users of Microsoft Office and Google suite and should have a desire to learn new applications. Successful candidates will have strong writing and proofreading skills.
Responsibilities Include

Provide administrative support to the Head of Primary School/Director of the ELC: manage calendars, schedule meetings, take meeting notes, draft and proof correspondence, and carry out other projects as assigned

Be the primary greeter for guests to the Primary School and source of information to families about the daily operations for both the Primary School and the ELC

Assist in planning and managing Primary/ELC events and be the point person during events

Manage the Primary School Office by performing tasks that include preparing and processing expense reimbursements, tracking student attendance, organizing field trips and student programs, preparing lunch table rotations/assignments, ordering classroom and office supplies, coordinating facilities requests, assigning color teams to students, organizing parent/guardian conferences, maintaining the Primary School calendar, and maintaining student files

Arrange for substitute teachers and organize internal coverage for both programs

Ensure faculty absences are processed and entered into payroll system

Be a contributing member of the Calendar and Communications Team by ensuring that Primary School and ELC events are successfully planned and implemented; are accurately posted on calendars; and are effectively communicated to parents/guardians

Maintain the ELC database of students from online registration through enrollment

Triage students who are sick/injured, maintain the safety standards of the Primary Health Office, collaborate and communicate with the nurses and families

Create, publish, track, and manage online permission forms as well as collecting parental/guardian acknowledgement forms as required
