Assistant to the Head of Upper School

Description
The Assistant to the Head of Upper School (grades 7 to 9) provides administrative support to the Head of Upper School to ensure the smooth functioning of the Upper School Office. This position requires excellent interpersonal and communication skills and the ability to interact with faculty, parents, and students in a professional manner. The Upper School enrolls day and boarding students from across the United States and more than 20 countries. The ability to engage effectively with families from a wide range of cultures is essential.

Applicants should thrive working in a fast-paced environment where a high level of customer service is expected. Candidates must have proven project management and problem-solving skills, as well as the ability to prioritize tasks and deadlines. The ability to work collaboratively with staff in other school offices is essential. The Assistant will be expected to handle confidential information with discretion. This is a full-time, year-round position with extended, paid vacation time during the summer months and school vacations. The position is eligible for employee benefits. 
 
Qualifications
Five years’ experience as an administrative assistant and/or project manager is required, experience as an executive assistant is preferred. A bachelor’s degree is preferred. Candidates must be experienced users of Microsoft Office and Google suite and should have a desire to learn new applications. Successful candidates will have strong writing and proofreading skills.
 
Responsibilities include:
  • Managing the Head of Upper School’s schedule
  • Solely responsible for student attendance and other student and faculty data on a daily basis
  • Serving as the primary source of information for parents about daily operations of the Upper School
  • Planning and coordinating all Upper School events, including, but not limited to end-of-year celebrations, field trips, on-site educational programs, Back to School Night and Parent Class Visit Day
  • Collaborating with and supporting the Office of Residential Life
  • Attending weekly meetings of the Calendar and Communications Team
  • Arranging substitute teacher coverage as needed
  • Preparing the Daily Bulletin for faculty
  • Preparing and posting bi-weekly lunch table rotations
  • Ordering supplies for faculty and the Upper School Office
  • Processing expense reimbursement requests, department invoices, and credit card expense reports
  • Preparing materials for end-of-term academic awards assemblies as well as weekly morning meetings
  • Overseeing Upper School faculty time off requested and ensuring that time-off is put into MassPay
